Position Title: PT Secretary, Counseling (Evening)

Position Classification: Part-Time Classified

Minimum Position Qualifications:

  1. Education - High School Diploma

  2. Experience - Two (2) years of appropriate office experience

  3. Skills - Proficiency in typing (30 w.p.m.); ability to communicate effectively both oral and in writing; knowledge in the use of computer software.

    Position Responsibilities:

    Responsible for clerical and other counseling department detail; assists in the coordination of college freshman orientations, walk-in registrations and pre-registration sessions; coordinates, organizes, schedules students and prepares materials for group orientations/pre-registration sessions with appropriate staff; selects and runs pre-registration notification to current students; utilizes communication management system to process the assigning of advisors, counselors, welcome correspondence, appointments and orientation sessions of freshman re-admissions and transfer students for the Counseling department; implements student clearance to register on web advisor; prepares and tracks incoming new student files and new acceptances for counselor evaluations; maintains filing system for accurate information storage and retrieval on current students; maintains ongoing database on enrollment status of all students for appropriate departments; maintains and tracks student early alert/referrals; informs students about programs, entrance criteria, and maintenance for continued participation; disseminates academic materials to faculty and students for the purpose of faculty advisement; types and processes assigned correspondence and educational and statistical reports; sorts and routes incoming mail, files correspondence and other records; greets visitors, ascertains nature of business and provides direction; places outgoing calls and schedules appointments; arranges travel schedules and reservations; interview, train and supervise work study students; requisitions office supplies and printing materials.

    Entry Salary: $9.15/hr - Hours - Monday - Thursday 3:00pm - 7:00pm; Friday - 2:00pm - 5:00pm

    Standard Work Week: 19 Hours
